Key Requests
Regular employees and associate faculty will be responsible for locking and unlocking the doors to the areas to which they are assigned. Employees who lose keys are liable for costs of rekeying the locks of affected doors. Temporary classified employees and student workers will not be issued keys. Associate Faculty will be asked to sign a Promissory Note that authorizes the District to deduct $50 from their pay warrant if the key(s) are not returned to either the Facilities or Associate Faculty Office after fall or spring semesters.
Two types of keys are available: standard metal key and access/swipe card. Some rooms are alarmed and require a security code. Employees will be issued and provided appropriate key type per the room's configuration. Depending upon which campus the key(s) are for, the key(s) are to be picked up at the respective locations: San Elijo campus: Facilities building or, Oceanside campus, Building 4200. General hours of operation for both locations are: Monday through Friday, 8 a.m. - 4:30 p.m. Call for specific hours of operation: Oceanside: 760 795-6690, San Elijo: 760 944-4449, ext. 7740 or Community Learning Center: 760 795-8744.
- The Key Request form (PDF) is to be printed out and completely filled in; any information which is omitted may cause delay in key issuance.
The Key Request must be received by Facilities at least ten (10) days prior to need.
- Employee acknowledgement and acceptance of responsibility is required from the employee with their signature on the Key Request form. No requests will be processed without employee signature; acceptance of responsibility is detailed as follows:
I accept responsibility for locking and unlocking the door(s) for which the key(s) is/are issued. I further understand and agree that I will be assessed the full cost of re-keying the door(s) for which the key(s) is/are issued should they become lost and, I understand that I will not be issued replacement key(s) until said fees are paid in full. I also agree to return all District property, including the aforementioned key(s), upon termination of my employment with the District. My last pay warrant may be delayed until the key(s) issued to me are returned.
- As appropriate, all authorized signature(s) are required: Department Chair [for all requests], Vice President [for building master keys], and/or President/Superintendent [for grand master keys].
- Email confirmation of receipt of the Key Request will be sent to the requesting employee within five (5) business days. Key(s) will be made available within ten (10) business days for pick-up at the Facilities' office of the site of which the respective keys are issued for.
Locking-Unlocking Procedures
Lock Terms
- Dogged: A process of leaving doors that have inside metal panic bars unlocked.
- Undogged: A process of locking doors that have inside metal panic bars.
- Panic Bar: This is a bar that extends the width of the door, when pushed from the inside of the room will open the door (some doors do not have this device.)
- Key: Best® brass key used to open manual locking systems.
- Key Card: White plastic card used to gain access to classrooms equipped with an electronic locking system.
- Best® core: The round portion of the lock where the brass key is inserted.
- Reader: An electronic device that indicates the status of the door. This device also reads the access card to grant entry into the room. Red means locked, Green means unlocked.
- LED (Light Emitting Diode): This is a light that is located on the Reader.
Manual locking system without door “panic bars”
- Insert your key into the Best® core, turn it until you here a click, then turn the key a half-turn in the opposite direction. Remove key. The door handle is now in the unlocked mode.
- Locking is done in the reverse order of the unlocking procedure.
Manual locking system w/door “panic bars”
- Insert your key into the outside Best® core and turn it to gain access into the space. After entering the space, you must now “dogg down" the panic bar. This is done by inserting your key into the Best® core that is located on the panic bar.
- Push in the panic bar and turn your key. You will hear a click and the panic bar should stay pushed in on its own. This indicates that the panic bar is now “dogged down".
- Rotate your key a half-turn in the opposite direction and remove. The door will remain unlocked.
- "Undogging" is done in the reverse order.
Electronic Automated Card System (only in B3100 as of now)
The Electronic card access system is programmed to unlock and lock the room doors automatically prior to the beginning and end of a class (based upon Don Pratola’s room schedule). When the door is in the unlocked mode the reader’s LED will be green. Just pull the door open to gain access into the space (The door handle will remain rigid at all times). If the reader’s LED is red, the door is locked and will require a card to access the space.
To enter the space before a scheduled class period when the reader is in the locked mode use the following procedure:
- Hold the key card within three inches of the reader -- the LED will then turn green. The door will remain in the unlocked mode for five seconds allowing you to pull the door open and enter the space. The door will relock after this five-second time period is over. (NOTE: The door handle will remain rigid at all times.)
- The doors with electronic access will remain unlocked only during the scheduled programmed periods.
Currently, the doors are programmed to unlock a few minutes prior to the start of class and lock a few minutes before the end of the class period. We will work closely with Don Pratola to try our best to accommodate last minute room changes.
